1. About this notice
Chair Concierge is operated by Artifact / Sharwin Rahul Harkal, India. This notice covers the Concierge website, trial requests and the planned handling of information when a business connects Instagram, as described below. Chair’s salon management product has a separate privacy notice at chairapp.co/privacy-policy.
The website shows simulated conversations. Viewing an animation or requesting a trial does not connect your Instagram account or give us access to its messages. Live service setup is arranged separately. The Instagram sections describe the planned service, not evidence that an integration is already active.
2. Information we collect and why
When you request a trial, we collect your name, business Instagram handle and email address. We use these details to respond, assess suitability and arrange setup. If you email us, we also receive the information you include in that correspondence.
Our hosting and network providers may process IP addresses, browser information, request times and diagnostic information to deliver and protect the website. Please do not send patient records, medical histories, passwords, access tokens or payment card details through the trial form.
3. Who receives information
Trial requests are delivered through Resend to the Chair team’s mailbox. Vercel hosts the website and Cloudflare provides domain and network services. These providers process information needed to deliver their services. Authorised team members can review requests and correspondence to provide setup and support.
We do not sell trial-request information. We may disclose information where required by law or necessary to address fraud, security incidents or legal claims. External booking websites and Instagram operate under their own privacy notices.
4. Live Instagram trials and human review
Before connecting a live account, we will explain the approved integration, the information it accesses, the AI and infrastructure providers involved, and the applicable retention and deletion arrangements. This website notice does not by itself authorise access to Instagram messages.
The proposed service uses business-approved information to answer inquiries and guide customers to a booking link. Personal setup and founder support include human review of conversations during the trial to identify issues and improve replies. Businesses must inform their customers of automated assistance and this review before activation.
For live customer conversations, the business determines the purpose of processing and remains responsible for its customer relationship. The applicable processing terms must be agreed before customer messages are processed. The service is not intended for medical records or clinical decision-making.
5. When your business connects Instagram
Subject to the permissions granted and features enabled, the planned service processes the connected business account identifier, customer and conversation identifiers, available display names, and contact details customers provide. These identify the correct business and conversation; they do not grant access to unrelated accounts or inboxes.
Conversation records include incoming messages, assistant and staff replies, message identifiers, timestamps and delivery, read or failure information where supplied by Meta. Incoming event records may contain message content and associated metadata. We use these records to process inquiries, avoid duplicate replies, track delivery and investigate failures.
We also process the business information you approve: services, prices, hours, FAQs, policies, promotions, tone and booking link. Approval and revision records help establish which information was used to prepare a reply.
The assistant uses recent conversation context and working memory, including a customer’s stated name, service interest, intent, last question and lead stage, to maintain continuity and guide the inquiry. Handoff reasons, staff takeover status, communication preferences and booking-link delivery status support staff follow-up and control further replies. A booking-link record does not establish that an appointment was booked.
6. How connected conversations are shared and retained
For the planned live service, Meta carries Instagram messages. Hosting, database and AI inference providers process the information needed to operate the assistant. The AI receives the current inquiry, limited recent context and relevant approved business facts to prepare a reply. Authorised business staff can handle their conversations, and authorised Chair personnel can review them for agreed setup, trial support and troubleshooting.
The live provider list, processing locations, applicable transfer safeguards and provider data-use terms, including whether providers retain inputs or use them for model training, have not yet been finalised. These must be confirmed and disclosed before live customer messages are processed. This notice does not promise that every provider has zero retention or prohibit training on a provider’s behalf without verified terms.
Temporary working memory is separate from stored messages and operational records. Expiry of working memory does not delete the conversation history, delivery records, handoff records or communication preferences. Retention periods and deletion arrangements for messages, incoming events, operational records and backups must be documented before activation, based on service needs, customer requests and applicable legal obligations.
7. Retention and international processing
We retain trial requests and correspondence for as long as needed to respond, arrange or support a trial, and resolve related issues. When assessing continued retention, we consider whether discussions are active, whether you become a customer, and any legal or security need to retain a record. You can request deletion at any time.
We operate from India, and service providers may process information in other countries. Applicable transfer arrangements and provider locations for a live messaging service must be confirmed before activation. Deletion may not immediately remove restricted backup copies; information required for legal obligations or a dispute may be retained for that purpose.
8. Your choices and rights
Email privacy@chairapp.co to request access, correction or deletion, or to ask us to stop following up about your trial. Depending on applicable law, you may also have rights to restrict or object to processing, receive a portable copy, withdraw consent where processing relies on consent, or complain to your local data protection authority.
Where a legal basis is required, we use trial details to take steps at your request before providing a service, and technical information for our legitimate interests in operating and securing the website, subject to your rights. Any additional processing requiring consent will be explained separately. We may verify your identity before fulfilling a request.
